Sample Preparation & Shipping
Proper sample preparation ensures accurate results and fast turnaround. DANNALAB can accommodate a wide range of sample types and preparation methods.
Sample Quantities
We require between 0.2–0.4 grams for qualitative analysis (polymorph identification, phase purity assessment).
For quantitative analysis (LOD/LOQ determination, method validation), more material may be needed depending on project scope.
For complex projects, we will provide a detailed design table specifying exactly what samples and quantities are needed for the complete study.
Sample Packaging
Please do not send large amounts of sample or large vessels. Small vials or sealed containers are preferred.
Some of our customers prefer to seal samples at their site before shipment to maintain chain‑of‑custody. If this applies to your project, please let us know — we have a special procedure and can provide you with the appropriate sample holders so you can ship pre‑sealed samples.
Special Sample Types

Sample Storage & Archiving
Samples are stored under controlled conditions with environmental monitoring. Our unique sealed sample storage system enables ready access for repeat evaluation or future reanalysis.
Archive retention periods are established per project requirements and regulatory guidelines.
Shipping Instructions
Preferred carriers: UPS or FedEx are recommended for reliable delivery and efficient customs clearance.
DHL shipping: May result in delays. If you must use DHL, clearly indicate C30 type samples in all documentation.
Customs documentation: Always indicate "research samples, non‑commercial" in shipping documentation. The declared value should be symbolic (e.g., $1) to facilitate customs clearance.
Important: Only ship with courier services that perform their own customs clearance. DO NOT use separate customs brokers — this will result in significant delays at customs and substantial additional costs.
Required Documentation
Please send us the following information as soon as you ship your samples:
- Tracking number — so we can plan the analysis schedule
- TYPED sample list (not handwritten) — sample IDs and batch numbers exactly as you want them to appear in the report
- MSDS (Material Safety Data Sheets) — for all active substances
Important: DO NOT rely on handwritten IDs on sample packaging. Correcting sample identifications in reports after analysis is time‑consuming and expensive. Always provide a clear, typed sample list.
❄️ Temperature‑Sensitive Samples (Biologics)
Please inform us UPFRONT before shipment:
- Required storage temperature — specify exact temperature range (e.g., 2-8°C, -20°C, -80°C)
- Light sensitivity — if samples must be protected from light
- Temperature probes (T-probes) — indicate if included and whether you need the readings reported
- Dry ice timing — expected duration of dry ice in packaging
Critical: Trust delivery of temperature‑sensitive samples only to reputable companies specialized in cold‑chain logistics. Standard courier services may not maintain required temperatures throughout transit.
⚠️ Special Care Required
Critical packaging requirement: No sample powder or dust should exist inside the shipping packaging or outside the prepared sample holders.
Ensure all sample containers are tightly sealed and properly secured to prevent spillage during transport. Clean the exterior of sample containers before packing.
Loose powder in packaging creates handling risks and may result in sample rejection or delays in analysis.
Confidentiality & IP Protection
Non‑Disclosure Agreements
DANNALAB accepts client NDAs as‑is in most cases, enabling seamless collaboration without lengthy legal negotiations.
We will sign your NDA to protect your proprietary information, formulations, and intellectual property throughout the project lifecycle.
Data Security
Strict confidentiality protocols are enforced for all projects. Project data is stored securely with controlled access, audit trails, and encryption for sensitive information.
All personnel are trained in confidentiality requirements and bound by confidentiality agreements.
Sample Confidentiality
Samples are labeled with coded identifiers. Only authorized project personnel have access to sample information and correspondence.
Chain‑of‑custody documentation maintains sample traceability while protecting confidentiality.
